Operating Agreement & Parties
Hanoi Golf Tours operates inbound golf holidays and golf travel logistics across Northern Vietnam in partnership with Wingolf Vietnam Joint Stock Company under International Tour Operator License No. 01-1886/2023/CDLQGVN-GP LHQT. By confirming an itinerary and placing a deposit, the client ("you") enters into a travel services agreement governed by these terms.

Deposits & Payment Schedule
- Booking Deposit: A deposit of 30% of total tour package cost is required upon itinerary confirmation to lock in tee times and hotel allocations.
- Final Balance: The remaining 70% is due 14 days prior to your arrival date in Vietnam. For bookings made within 14 days of arrival, full payment is required upon confirmation.
- Accepted Currencies & Methods: Payments are accepted in USD or VND equivalent via International Bank Wire (SWIFT), Wise transfer, or credit card payment link (Visa, Mastercard, JCB, Amex). Credit card transactions are subject to standard merchant processing fees (typically 3.0%).
03.
Golf Tee Times & Course Operations
- Morning Slot Priority: Morning tee-off windows (typically 06:30 – 08:30) are pre-reserved via Wingolf's direct club allocations. We confirm exact starting times upon receiving your flight and group details.
- Club Competitions & Maintenance: In the rare event a club announces an unscheduled member tournament or course maintenance (e.g. green aeration), we notify you immediately and provide an equivalent or upgraded championship course alternative.
- Caddie & Cart Regulations: In Vietnam, courses operate a strict policy of one caddie per golfer. All green fee packages include 18-hole green fee, shared motorized cart (or single cart upgrade if specified), and individual caddie fee. Caddie tips are customary and paid directly to caddies in VND cash after your round (customary tip: 400,000 to 500,000 VND / ~US$16–$20 per 18 holes).

Private Ground Transportation & Luggage
All airport, hotel, and course transfers are private to your group in dedicated air-conditioned vehicles (Kia Carnival, Ford Transit, or Hyundai Solati).
Each passenger is allotted space for one standard golf flight bag plus one standard checked suitcase and one carry-on. If your party brings oversized luggage, please inform your concierge during booking so appropriately sized transit is arranged.
05.
Travel & Equipment Insurance
Hanoi Golf Tours provides licensed tour operator ground liability. However, we strongly recommend that all international clients purchase personal travel insurance covering international medical care, trip interruption, flight changes, and golf equipment loss or damage.
06.
Cancellations & Weather Policy
All cancellation requests, group size reductions, and adverse weather / raincheck policies are governed by our dedicated Cancellation & Rain Policy.
07.
Governing Law & Dispute Resolution
These terms are governed by the laws of the Socialist Republic of Vietnam. Any unresolved disputes arising under these terms shall be settled through amicable negotiation, or if necessary, submitted to the competent commercial courts in Hanoi, Vietnam.
